Return to your proposal after processing

You'll receive an email once processing is complete, which typically takes 2 to 5 minutes. On the My Proposals page, your proposal status will update from 'Processing' to 'Setup,' indicating that you can reenter the proposal to review requirements and begin outlining your response.

Review your extracted requirements

What Ensis Extracts for Each Requirement

  1. Requirement Content

    • A requirement in Ensis is defined as either:

      • A deliverable—the service or product the contractor must provide to fulfill the contract

      • A guideline or instruction—rules for the proposal and response process

  2. Requirement Identifier (If Available)

    • If the original solicitation includes section identifiers, Ensis retains them with each requirement to help you organize your proposal.

    • For example, if a requirement comes from Section 4.2.1 of the opportunity, Ensis stores that identifier so you can easily reference its source and structure your response accordingly.

This ensures that extracted requirements are both meaningful and traceable, making it easier to align your proposal with the solicitation's expectations.

Once processing is complete, you can review the extracted requirements and identifiers in two ways:

  • Requirements List (Left Panel): Browse through the list of extracted requirements. Clicking a requirement will automatically navigate to its location in the document on the right.

  • PDF Viewer (Right Panel): Extracted requirements are highlighted in the source document for easy reference.

To edit a requirement or its identifier, click the three-dot "More" menu next to the requirement in the list, then select "Edit Requirement."

Delete an extraneous requirement by clicking the three-dot "More" menu next to the requirement in the list, then select "Delete Requirement."

To add a requirement, highlight text in the PDF viewer and click "Add Requirement." You may also click the three-dot "More" menu next to the PDF name in the requirements list then click "Add Requirement." Don't forget to include a requirement identifier if you wish to track it later.

Build your proposal sections

Create a structured proposal outline to organize your requirements efficiently.

  • Navigate to the "Outline" tab

  • Click the three-dot "More" menu next to the placeholder "Section 1" to rename it.

  • Click "Add Section" to insert additional sections.

  • To create sub-sections, click the three-dot "More" menu next to any section and select "Add Subsection."

Organize your requirements

Ensure each requirement is placed in the appropriate section to maintain compliance and improve readability. Use Ensis to efficiently sort your requirements into the correct sections.

Manually Organizing Requirements

  • Navigate to the "Requirements" tab.

  • Hover over a requirement to reveal a checkbox.

  • Select the requirement(s) you want to organize.

  • Click "Organize."

  • Choose the proposal section where you want to move the selected requirements.

  • Repeat as needed for additional requirements.

Using Ensis Autosort

If you're unsure where to place certain requirements, you can use the Autosort feature. This AI-driven tool automatically assigns requirements to proposal sections based on their content and section names.

Currently, Ensis Autosort matches requirements using their text and section titles. Future enhancements will incorporate additional context, such as requirement identifiers, to improve accuracy and align with user workflows.

Reorder or move your sections and requirements

To rearrange sections, sub-sections, or requirements within your proposal:

  • Navigate to the "Outline" tab.

  • Click and hold the requirement, section, or sub-section you want to move.

  • Drag it to your desired location.

  • You can also move requirements or sub-sections into new parent sections as needed.

Assign section/sub-section authors

Navigate to the "Outline" tab. Assign authors to any section or sub-section of your proposal by clicking "Display Options" then "Show Assigned Users."

Click on the author assignment for any section to open a list of Ensis users within your organization, then select the author(s) you wish to assign to a given section.

Proceed to authoring

Return to the "Outline" tab to review the final structure of your proposal. When you're ready, you can kick off the authoring stage by clicking "Start Authoring." All of the same outlining and requirements functionality will be available throughout authoring in the "Proposal Management" tab of your proposal.
